What to Ask About Gloucester Conference Room AV Support

Every meeting is brought down by poor AV setup within the first slide. Set up your conference to meet effectively by asking these simple questions.

Is the Equipment Owned or Hired In

Does the venue own the audio-visual equipment or is it hired in by a third-party supplier? Is there an additional charge for the equipment and who co-ordinates it with the venue?

Who Provides Technical Support on the Day

Will there be a technical person on site to support me for the entire duration of my event or is there someone I can call in case something goes wrong? Remember, having someone on site to fix problems as they occur is far more valuable than having a 24 hour helpline.

What Are the Screen and Projector Specs

The screen size relative to the room size and the projector’s lumens rating are key to assessing whether a venue’s AV will deliver a good quality image to your audience.

Can the Room Handle Hybrid Meetings

Are there fixed cameras, dedicated microphone arrays and sufficient connections for video conferencing systems such as Teams and Zoom? This is one of the main features which distinguishes a good conference venue from a bad one with a screen.

How Is the Room’s Sound Managed

Is a PA system provided for talks? Is it suitable for a presenter using only the built-in speakers with no lapel mic? Some rooms with solid walls and high ceilings can have poor sound and develop echo.

Can You Run a Full Test Beforehand

Confirm you can access the room thirty minutes plus before your delegates arrive so you can test out your slides, check the sound levels and test out any video links too.

Asking these questions ahead of time can save a lot of hassle even the best content can’t fix.
